1. Notification of Offboarding
HR receives notification of the employee or contractor's offboarding, including the effective date. The reason for offboarding is also recorded in Rippling:
- Resignation
- Termination
- Contract end
- Layoff
2. Communication of Offboarding (in case of termination)
The manager communicates the offboarding decision to the team member during a call with HR present.
3. Access Removal
- Make a copy of the "Revoke Access Template" in ClickUp, adding the employee's name in parentheses in the copy.
- Review each item in the list and revoke access one by one.
- Once completed, archive the list.
4. Scheduled Offboarding (resignation)
If the offboarding occurs on a future date:
- HR contacts the team member on the final day.
- HR confirms that all tasks and responsibilities have been reassigned.
- HR schedules an Offboarding Call and completes the Offboarding Form.
5. On the Offboarding Day
HR completes the following steps:
- Confirms with the team member that all tasks have been transferred.
- Confirms with the manager that all responsibilities have been reassigned.
- Coordinates the return of company equipment and office key card (if applicable).
6. Transition Confirmation
Before finalizing the offboarding, the manager must confirm that all transitions are complete, including meetings reassigned, documentation updated, and key responsibilities transferred.
If severance is applicable, payment may be contingent on successful transition of responsibilities.
Payroll & Records Update
HR sends an email to Crunchfirm notifying them of the offboarding so they can update the Plei Team Spreadsheet, update Rippling, and process the final paycheck.
